Creating an Import File Using a File Format

You can collectively register users by using an Excel file.

To prepare for batch user registration, download the appropriate Excel file from User Management on this site, and then enter the user information.

  • Up to 150,000 users can be imported at once.
  • The maximum import file size is 30 MB.
  • The downloaded import file will not import correctly if you edit the first row (comment row) or second row (key information row).
Click the (Menu button) - [Import (File created from format)].
[Click here to download the import file format] to download the file.

In addition to the Excel file you downloaded in this procedure, you can also use an exported Excel file.

Open the downloaded Excel file.
Delete the sample data from the third row onwards and enter data fields for each user.

When you specify items that are not included in the Excel file, such as a PIN, manually add rows for items you want to specify, and then specify the key information in the second row and values for each user from the third row onwards.

  • Enter "Add" to add a user.
  • Enter "Edit" to edit the registered user information.
  • When the registered user ID and the Excel file user ID match, the entries in the Excel file other than the user ID will be overwritten.
  • Enter "Delete" to delete the registered user.

Last Name familyName Enter the user's last name.

Department department Enter the name of the user's department.
Office Location location Enter the location of the user's office.

To specify multiple groups to which the user belongs, add a column to the right for each group.

To link with authentication information for the multifunction printers/copiers, enter the account ID of the multifunction printers/copiers.

If you want to use the IC card when logging in to the multifunction printers/copiers, enter the ID here.

Enter a description for the IC card.
Interactive Whiteboard - Device Account onpremiseAccounts.id

To link with authentication information for RICOH Interactive Whiteboard, enter an account ID for RICOH Interactive Whiteboard.
  • If Interactive Whiteboard is not registered for the logged-in tenant, this item will not be included in the format.
Interactive Whiteboard - IC Card onpremiseAccounts.id

If you want to use the IC card when logging in to Interactive Whiteboard, enter the ID here.
  • If Interactive Whiteboard is not registered for the logged-in tenant, this item will not be included in the format.
RICOH Collaboration Board - Device Account onpremiseAccounts.id

To link with authentication information for RICOH Collaboration Board, enter an account ID for RICOH Collaboration Board.
  • If RICOH Collaboration Board is not registered for the logged-in tenant, this item will not be included in the format.

If you want to use the IC card when logging in to RICOH Collaboration Board, enter the ID here.
  • If RICOH Collaboration Board is not registered for the logged-in tenant, this item will not be included in the format.

Enter optional user information that can be specified by the administrator.
  • For import, no item name can be changed.
  • For an item written into a format file, its initial name is used as-is, even if the item name is changed on this site.
PIN userCode Enter the PIN for a user.
  • The PIN is not included in the format, so if you want to configure it, manually add the key information and data you want to import.
  • To delete the PIN, enter "DEL".
  • If you do not want to update the PIN, enter "NC".
  • When you add a PIN column, be sure to enter the data. If you leave the key information name blank, an error occurs when you import the data.

  • When any of the items in "Operation" is blank, "Add" takes place.
  • When "Operation" is "Add" or "Edit", the following items must be entered.
    • User ID
    • Email Address
    • Last Name
    • First Name
  • When "Operation" is "Delete", the following item must be entered.
    • User ID

Save the Excel file after entering the user information.
